WooCommerce order problems
Order problems are the ones that cost money quietly: orders that never appear, totals that do not match the payment, statuses that never move, data that differs between screens. They need careful diagnosis, because the order data itself is the evidence.
Short answer
First confirm whether the order exists at all: check every status filter, including drafts, trash and checkout drafts, and search by the customer's email. Then compare the order with the payment provider and with the order notes. Missing or inconsistent orders usually come from interrupted checkouts, failed payment confirmations, custom code, or order storage (HPOS) sync problems.
Specific problems
Common order problems
Missing orders
Paid or placed orders that do not appear in the admin.
Wrong order totals
Fees, coupons, taxes or rounding producing totals that do not match the payment.
Statuses that never change
Orders stuck in pending, on-hold or processing; automations not firing.
Order creation failures
Errors during checkout that leave half-created orders.
Custom order statuses
Custom statuses missing from reports, emails or integrations.
Order data inconsistencies
Meta, items or addresses that differ between screens, exports and HPOS tables.
Diagnose before touching the data
Order problems are tempting to "fix" by editing orders by hand. That removes the evidence and often hides the cause until it happens again. The order notes, status history, payment provider events and logs together usually explain what happened.
- Order notes record status changes, payment confirmations and many plugin actions with timestamps.
- The payment provider's events show what the customer actually paid and when.
- Scheduled actions (Tools → Scheduled Actions) show follow-up work — emails, webhooks, syncs — that failed or is still pending.
- Order storage: under WooCommerce → Settings → Advanced → Features you can see whether orders are stored in HPOS tables or the legacy posts tables, and whether compatibility mode is keeping them in sync.
Frequently asked questions
Why are WooCommerce orders missing from the admin?
Common causes are status filters hiding them, orders still in draft or checkout-draft status, payments never confirmed, custom code or automations moving them, and order storage sync problems after enabling HPOS.
Why do pending orders get cancelled automatically?
With stock management enabled, WooCommerce cancels unpaid orders after the hold-stock time set in the inventory settings. If payment confirmations arrive late, or not at all, those orders are cancelled.
Can I fix order data directly in the database?
Not without understanding where the order is stored (legacy posts tables or HPOS tables) and whether synchronisation is enabled. Direct edits can be overwritten or copied incorrectly by the next sync.
